St. Mary’s College of Catbalogan, Inc. admits students who are willing to comply with the academic standards, registration requirements, and institutional policies of the College Department.
A. Admission and Registration Procedure
1. Freshmen and Transferees
After taking the entrance examination, the student shall submit the following requirements to the Registrar’s Office:
- Senior High School Report Card (for freshmen)
- Certificate of Transfer Credentials (for transferees)
- Clear copy of the Birth Certificate from PSA
- Two (2) pieces 2×2 and passport-size ID pictures
- For married students, a clear copy of the Marriage Contract from PSA
The student shall then secure a Registration Form and plot the subjects on the form. The schedule of subjects is posted on the bulletin boards. The student must obtain the approval and signature of the Program Adviser.
After this, the student shall proceed to the Registrar for the encoding of subjects and secure the signatures of the following offices:
- Registrar
- Dean of Discipline
- Dean of College
- Cashier
- IT In-Charge (for ID processing)
2. Old Students
Old students shall present their evaluated prospectus to the Program Adviser and secure a Registration Form. They shall plot their subjects on the form based on the schedule posted on the bulletin boards and obtain the approval and signature of the Program Adviser.
Thereafter, they shall follow the same registration procedure required of freshmen and transferees.
B. Duly Enrolled Student
A student of St. Mary’s College of Catbalogan, Inc. is considered duly enrolled when he or she has submitted the required valid credentials, has been issued a subject list, has attended classes, and has paid the required fees or made arrangements for payment with the Cashier.
Every prospective student must enroll during the scheduled registration period and follow the prescribed registration procedures. Students are responsible for observing the proper sequence of subjects in their respective curricula. To this end, they are required to secure an updated evaluated course of study before enrollment. Enrollment in any subject without the necessary prerequisite is not valid and will not be credited regardless of the grade obtained.
C. Adding and Dropping of Subjects
Adding and dropping of subjects shall be done only within the scheduled period. The following guidelines shall be observed:
- Secure an adding/dropping form from the Registrar’s Office.
- Obtain the approval of the Program Dean, Registrar, and Cashier.
No student may add or drop a subject without the approval of the Program Dean, Registrar, and Cashier. Otherwise, the subject shall be marked as DROPPED.
D. Withdrawal of Enrollment
A student may officially withdraw from enrolled subjects within six (6) weeks from the start of the semester. Official withdrawal means that the student has accomplished the official withdrawal form with the approval of the College Dean and other concerned school officials.
E. Refund of Fees
If a student withdraws before the start of classes, only the Registration Fee shall be charged.
If the student withdraws during the first week of classes, he or she shall be refunded seventy percent (70%) of the total amount paid for tuition.
If the student withdraws during the second week of classes, he or she shall be refunded fifty percent (50%) of the total amount paid for tuition.
No refund shall be given after the second week of classes. A student who withdraws any time after the second week may be charged all school fees in full.
However, if the withdrawal is due to a justifiable reason, the student shall be charged only the pertinent fees up to and including the last month of attendance.
Students who have paid in full the pertinent tuition and other school fees may be charged ten percent (10%) of the total amount due for the term if they withdraw within the first week of classes. If the withdrawal is due to a justifiable reason, the student shall likewise be charged only the pertinent fees up to and including the last month of attendance.
F. Certificate of Transfer Credential
A student who voluntarily withdraws from the College is entitled to a transfer credential, provided that clearance from all offices has been secured. This credential shall be issued only once.
G. Cross-Enrollment
Cross-enrollment refers to simultaneous enrollment in two schools. Only graduating students may avail of this provision, subject to the prior approval of the College Dean.
H. Summer School Admission Policy
Students from other institutions who wish to enroll at St. Mary’s College of Catbalogan, Inc. during the summer term only may do so by presenting a Permit to Study, which is a prior written permission from the Registrar of the college where the student is in regular residence.
